Job Description

George Fox University is seeking a part-time dynamic, detail-oriented Administrative Assistant to support the daily operations of the Department of Kinesiology. The ideal candidate will demonstrate exceptional organizational skills, program management, a heart of service, and a commitment to the mission and values of George Fox University.

About the Job:

This position serves as an essential member of the Kinesiology department, providing high-level administrative support to the department chair and faculty. The role involves coordinating academic and operational functions, assisting with events, managing departmental communications, and ensuring smooth day-to-day operations.

Job Responsibilities Include, but Are Not Limited To:

  • Providing administrative support for department chair, including scheduling meetings, taking minutes, managing purchases of lab supplies/equipment, and running budget reports.
  • Assisting faculty with course-related administrative tasks such as photocopying, classroom scheduling, tracking syllabi, and proctoring exams.
  • Maintaining departmental records, files, and databases for current students and alumni.
  • Coordinating planning and logistics for departmental events (e.g., holiday gatherings, workshops, guest lectures, and recruitment events).
  • Creating and maintaining a welcoming and professional presence for students and other visitors.
  • Hiring, training, and managing student employees.
  • Preparing and processing purchase orders, budget documentation, and other financial reports.
  • Serving as a liaison between the Kinesiology department and other university departments, including Registrar, Finance, and Academic Affairs.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross culturally with respect, appreciation and humility.
  • Other duties as assigned.

A Day in the Life of This Position:

This role involves a balance of administrative, relational, and operational tasks. On any given day, you may support faculty with class materials, track budgets and expenditures, supervise student workers, coordinate academic processes like course evaluations, or plan departmental gatherings. You will also serve as a primary point of contact for students and guests, embodying hospitality and professionalism.

We're Looking for Candidates Who Have:

  • An associate's degree is required.
  • A minimum of 2 years of successful office, clerical or administrative support.
  • A familiarity with kinesiology, health sciences, or a related field.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Excellent organization skills and detail orientation with the ability to manage multiple tasks and meet deadlines.
  • Positive decision-making and problem-solving skills.
  • A proficiency of Microsoft Office - Word, Excel, Google documents, Internet navigation, and able to become proficient in other administrative software programs.
  • Integrity and discretion in maintaining a high degree of confidentiality.
